Panta Property Solutions (“Panta”, “we”, “us”) is the controller of the personal data described here. Contact us at info@pantapropertysolutions.com for any privacy question or to exercise your rights.

Account & identity: name, email, phone, role (landlord/tenant/contractor), and where relevant your landlord registration or contractor accreditation details.

Property & tenancy data: addresses, tenancy terms, rent schedules, compliance certificates and related documents you add.

Payments: processed by Stripe. We receive payment status and limited metadata; we do not store full card or bank details.

Content you upload: documents, photos, videos and messages relating to your properties, jobs and reports.

Usage & device data: log data and basic analytics needed to run and secure the Service.

To provide the Service — accounts, maintenance, rent, compliance, documents and reporting.

To verify landlords and contractors, and to match jobs to suitable contractors.

To send service communications and, where you have set them, reminders by email and SMS.

To keep the Service secure, prevent fraud and meet our legal obligations.

We rely on: performance of a contract (to provide the Service you signed up for); legitimate interests (to operate, secure and improve the Service, and to facilitate matching); legal obligation (for example tax and anti-fraud); and consent where specifically requested (for example certain communications). You can withdraw consent at any time.

We use trusted processors to run the Service, including: Supabase (database and authentication hosting), Stripe (payments), Resend (email), Twilio (SMS), and Anthropic (AI features). Where you use tax features, data may be shared with HMRC to meet Making Tax Digital obligations at your direction.

Within the platform, relevant data is shared between the parties to a tenancy or job — for example a landlord, their tenant, and a contractor assigned to a job — strictly to deliver the Service.

We do not sell your personal data.

Some features send content (such as a document or a maintenance description) to our AI provider to generate assistance such as extraction or categorisation. This is used to provide the feature and is not used to train third-party models on your data.

Data is stored on our providers’ infrastructure with access controls, encryption in transit, and encryption of certain sensitive values at rest. We keep personal data for as long as your account is active and thereafter only as needed to meet legal, accounting and dispute-resolution requirements.

Some providers may process data outside the UK. Where they do, we rely on appropriate safeguards such as UK-approved transfer mechanisms.

You have the right to access, correct, delete or port your data, to object to or restrict certain processing, and to withdraw consent. Contact us to exercise these rights. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
